How Valcke Group modernised their logistics with Business Central, Sendcloud & Tasklet

Valcke Group, active in both bowling installations and professional fitness environments, supplies materials and equipment daily to customers in Belgium, the Netherlands, Luxembourg, France, Germany, Switzerland, Italy, and Eastern Europe. In addition to large installation projects, a significant part of their business consists of delivering “small goods,” such as bowling balls, pins, shoes, and fitness components.

With more than 100 parcels shipped per day and a growing international customer base, Valcke Group realized that their existing logistics processes — based on paper, manual registration, and separate carrier portals — had reached their limits.

The company migrated from Navision to Business Central and chose the integrated Sendcloud + Tasklet Mobile WMS solution from NVision.

Migration to Business Central
Valcke Group migrated from Dynamics NAV to Business Central to facilitate further growth and modernize their operational processes.

Commerce 365 for Sendcloud + Tasklet Mobile WMS module
Valcke Group uses Commerce 365 for Sendcloud combined with the Tasklet Mobile WMS module to automate shipping and warehouse operations and manage it directly in Business Central.

The challenge: from paper-based shipping to scalable logistics

For many years, Valcke Group operated on Navision with fully manual processes:

  • Printing orders
  • Printing pick lists
  • Manually writing down serial numbers
  • Walking to a fixed workstation
  • Opening the UPS portal and re-entering shipment data
  • Downloading shipping labels as PDFs
  • Manually printing labels and documents
  • Back-office staff re-entering all data into Navision

While this setup functioned, it was not scalable, involved many duplicate manual steps, and carried a clear risk of errors — especially in the fitness segment, where Valcke Group works with serial numbers.

With the transition to Business Central, Valcke Group set out to achieve the following:

  1. Integration with UPS
    Without any manual steps for warehouse employees.
  2. Automatic transport cost calculation on sales documents
    Eliminating the need for back-office corrections.
  3. A solution that could be implemented quickly
    A custom-built UPS integration proved too expensive and time-consuming; Sendcloud offered the same functionality, but faster and more cost-effectively.
  4. A solution that works with handheld scanners
    Allowing warehouse staff — particularly in the fitness division — to register serial numbers directly at the source.

Evaluating the right approach

Before making their decision, Valcke Group evaluated three possible options:

  • Direct UPS integration, which proved too expensive and time-consuming.
  • nShift Transsmart.
  • Sendcloud + Tasklet through NVision, recommended by their ERP partner and offering the best functional fit.

The final choice was driven by several key factors.

As soon as a warehouse employee posts a task via the Tasklet handheld scanner, the label is automatically printed on the correct printer. This provides a clear signal to both the warehouse staff and the manager: the order is completed. It significantly improves visibility and clarity in the warehouse.

To modernize its logistics operations, Valcke Group implemented a fully integrated shipping and warehouse solution built on Sendcloud and Tasklet Mobile WMS, seamlessly connected to Business Central. This setup replaces manual processes and external carrier portals with one unified workflow inside the ERP.

Sendcloud – Automated carrier integration

Sendcloud provides the carrier layer within the solution, allowing Valcke Group to connect UPS directly to Business Central. It also allows them to work with any other carrier from the Sendcloud platform instantly. Shipping labels are generated automatically during order posting, transport costs are calculated automatically, and track & trace information is stored directly in the ERP — eliminating the need to work in external carrier portals.

Tasklet Mobile WMS – Mobile warehouse execution

Tasklet Mobile WMS enables warehouse staff to execute pick, pack, and ship processes directly from handheld scanners. Orders, quantities, and serial numbers — especially critical in Valcke Group’s fitness division — are registered at the source, ensuring accuracy and eliminating paper-based workflows and manual data entry.

NVision – Standard integration into Business Central

NVision’s standard solution brings Sendcloud and Tasklet together within Business Central’s native logistics flows. By intergating shipping and warehouse automation directly into the ERP, the NVision solution avoids custom development while delivering a scalable and maintainable setup that fits Valcke Group’s operational requirements.

Handheld scanning across the warehouse

Valcke Group now works with seven handheld scanners: four for bowling, two for fitness, and one test unit. Warehouse staff pick, scan, and ship directly in Tasklet, enabling a continuous pick–pack–ship workflow without returning to a fixed workstation.

Automatic label creation and cloud printing

With Sendcloud, shipping labels are generated automatically. Valcke Group uses PrintNode for advanced cloud printing, meaning all shipping labels are automatically printed at the correct packing station.

  • No need to access carrier portals

Scaling without additional back-office staff

One of the most impactful improvements turned out to be administrative efficiency. Warehouse and shipping registrations are now handled at the source, eliminating manual back-office work.

Thanks to the integrated setup in Business Central, Valcke Group scaled its operations without increasing administrative headcount.

In the fitness division, scanning serial numbers delivers immediate and significant value. Manual transcription has been eliminated, reducing the risk of errors and substantially lowering the need for administrative follow-up.

Bowling: strong foundation with room for further optimization
In the bowling division, the technical foundation is now in place to unlock additional efficiency gains. Valcke Group indicates that further improvements will come from continued internal process optimization rather than changes to the tooling itself.
